Table of Contents

Most lead generation benchmarks you find online come from US SaaS surveys. They tell you very little about selling fit-out, IT services or consulting into Dubai, Riyadh or Doha. So we went to our own numbers.

We looked at two levels of data. The first is everything we have run: 816 outbound campaigns since April 2024. The second is the 21 case-study campaigns where we can follow a qualified lead through to a booked meeting. Together those 21 produced 3,583 qualified leads and 1,589 meetings through our B2B appointment booking service.

What we have run

All outbound campaigns, April 2024 to November 2026 Count
Campaigns 816
Brands About 20
Lead contacts 315,753
Emails sent 950,479

Lead contacts are counted per campaign, so a person in two campaigns counts twice.

Where the leads are. Of the 18,266 lead records that still carry a location, about 59% are in the GCC.

Market Share of located records
UAE 29%
Saudi Arabia 21%
Qatar 5%
Kuwait 2%
Oman 1%
Bahrain 1%

This is a guide to the mix, not an exact split. Only part of our history keeps a location.

On our own calendar. Leadee’s own campaigns contacted 128,744 leads, and 533 different people booked 665 calls on our calendar. That is about 5 bookings per 1,000 contacts. Treat it as an upper limit, because the calendar also takes calls from inbound and referrals.

The headline numbers

These come from the 21 tracked campaigns.

  • Median lead-to-meeting rate: 45%. In a typical campaign, close to half of qualified leads agreed to a meeting.
  • Pooled rate: 44%. This divides all meetings by all leads, so larger campaigns count for more. The two are close here, and removing the largest campaign still leaves the pooled rate at 44%.
  • Typical pace: about 9 meetings a month for campaigns that ran 60 days or longer, with a range of roughly 3 to 50.
  • Fast starts are real: six campaigns ran 30 days or less and produced 48 meetings between them.

A “qualified lead” here means a decision-maker who matched the client’s ideal customer profile and replied with interest. It is not a raw contact, a form fill or an open.

These are published Leadee case studies, chosen by us, so they are not a random sample of all campaigns. Figures are reported as minimums, such as “130+”, and we used the stated number. Meeting counts are as reported in each case study.

Lead-to-meeting rate by industry

Industry Campaigns Qualified leads Meetings Rate
Media and PR 2 170 115 68%
Fashion and creative 1 190 110 58%
Software and tech platforms 2 105 58 55%
Professional services 2 49 25 51%
Construction and built environment 4 2,370 995 42%
Interior design and fit-out 4 177 75 42%
IT services and consulting 5 517 209 40%
Financial services 1 5 2 40%
Total 21 3,583 1,589 44%

Most rows hold only a few campaigns, so read these as directional, not as targets. Financial services is a single campaign with five leads, and one campaign makes up most of the construction row.

What explains the spread

These are our reading from running the campaigns. The data shows the differences, not the causes.

1. Relationship-led industries seem to convert fastest. PR, creative and professional services buyers in the GCC often expect to meet before they buy. Once a decision-maker says “interested”, a meeting is the natural next step.

2. A high-volume campaign needs a different yardstick. We report one real-estate SaaS campaign separately. It contacted 800 people in seven days and produced 8 meetings and USD 15,000 in revenue. Those 800 were contacts rather than qualified leads, so it would not be a fair comparison with the table. Including it anyway would pull the pooled rate from 44% down to 36%, which shows how much the definition of a lead matters.

3. Project-based buyers vary more than the average suggests. Within construction and the built environment, including commercial fit-out, campaigns ranged from 18% to 58%. These buyers tend to meet when a project, tender or lease event is live, so signal-based timing (new leases, fit-out permits, tender calendars) is usually a better fix than more outreach.

4. Short campaigns can still perform. Several campaigns booked their first meetings inside 7 to 20 days. In our experience that comes from a tight ideal customer profile, verified data and a clear offer.

How to use these benchmarks

Work backwards from your deal target:

  1. Start with held meetings. If your close rate from held meeting to deal is 15% and you need 3 deals a month, you need 20 held meetings.
  2. Allow for no-shows. If 80% of booked meetings take place, 20 held meetings needs 25 booked. The 80% is an example, so use your own number.
  3. Divide by your lead-to-meeting rate. At 40%, 25 booked meetings needs about 63 qualified leads.
  4. Check the market can supply that. At 63 qualified leads a month, a market of 400 accounts would run out in about six months even if every account produced one, and few do. Widen the market (Saudi, Qatar) or the buyer roles.

Our qualified meeting calculator does this maths for you.

Red flags in your own numbers

These are rules of thumb from our campaigns, not statistical thresholds. Treat them as a reason to look closer.

  • Below 20% in a relationship-led industry: check whether the “leads” are really qualified. Revisit the definition with a lead qualification template.
  • Above 70% with very few leads: the audience may be too narrow to scale.
  • Many booked meetings not taking place: look at the hand-off. Confirm the agenda, send a calendar invite from a real person, and remind 24 hours before.

Method

All campaigns: figures come from our Instantly campaign records from April 2024 to 4 November 2026, across all brands. Client names are not shown.

Tracked campaigns: we used Leadee case studies, published on our case study page, that report both leads and meetings. Rates are meetings divided by qualified leads per campaign; the pooled rate divides total meetings by total leads. Timelines are converted to months. Where a study reports meetings per month, we multiplied by the campaign length.

Left out of the table: three studies are not comparable. A real-estate SaaS campaign counted people contacted, an education campaign counted registrations, and a procurement campaign reported opportunities with no meeting count.

Calendar figures: Leadee’s own calendar since May 2024, excluding cancelled events.
